A new checkbox has been added to the diagnosis entry screen that allows providers and billers to omit specific diagnoses from both compiled notes and claims—without removing the diagnosis from the chart.
Previously, if a client payment was applied to a specific note, the only way to remove it was by processing a refund and then collecting a new payment. Now, you can simply move the payment to unapplied credit and reassign it to a different note as needed.

06/03/2025 - Send Client Statements to a Mailing Partner for Print and Mail
ICANotes+ now offers the option to electronically send client statements to a trusted third-party mailing partner. The partner will print and mail the statements directly to your clients on behalf of your practice—helping you save time, reduce administrative tasks, and ensure reliable delivery. You can choose to send statements individually or in batches, depending on your practice's needs.

The system now allows practice owners to transfer ownership to another user with an administrator role.
The client's account ledger now includes two new columns to display Client Adjustment and Insurance Adjustment details.
The Billing Report includes a Billing Note field, which displays notes associated with billing entries. Billers can hover over the field to view the full note. When exporting the report to PDF, CSV, or Excel, the billing note is included, ensuring all relevant billing information is retained.
The software allows billers to generate statements for clients with a remaining balance. Statements can be generated, printed, and downloaded individually or in batches. However, statements must be generated before they can be printed or downloaded.

02/19/2025 - Medication Expiration Date Displayed on Chart Face
The Current Medications section on the chart face now displays the medication’s expiration date. If a medication does not have an expiration date, it will be labeled as Chronic.

02/19/2025 - Search Diagnosis Codes from the Master List When Placing a Lab Order
You can now search for diagnosis codes from the master list when placing a lab order. Previously, only codes from your favorite list were available for selection. This enhancement allows you to search the full master list and select any diagnosis code.

02/19/2025 - Copay Amount Now Supports Cents Entry
Billers can now enter copay amounts in cents when adding or updating a client’s insurance details. Previously, decimal point entries were not supported.

02/19/2025 - Ability to Update Modifiers When Entering Service Codes
When entering service codes in notes, you can now update modifiers. These updates will reflect in the compiled note. If you add a new modifier, it will be automatically configured in the Practice Settings Modifiers Short List. New modifier codes added will initially appear without descriptions in practice settings. You can later update the description as needed.

Clients will now receive an email confirmation when they request an appointment using the Quick Share Link. Previously, email acknowledgments were sent only when the 'Automatically Confirm Appointments' flag was enabled. With this update, an email confirmation will also be sent when the flag is disabled.

01/21/2025 - Configure Timely Filing Limit for Payers
You can now configure timely filing limit for payers based on state-specific rules and regulations. This ensures claims are submitted within the required timeframe. Claims exceeding this limit will be flagged on the billing worklist. Additionally, you can enable a setting to receive notifications a few days before the filing period expires.

01/03/2025 - The New Chart Flag Message Feature
The Chart Flag Message feature enables practice users to set client-specific reminders for clinicians and staff. A flag icon appears next to the client’s name on their chart, which opens a screen to create a new chart flag message. If a message has already been created by another user, it can be viewed by clicking the same icon. This feature also offers options to snooze messages for a chosen duration and set priority levels. Additionally, a centralized location is available for managing chart flag messages for all clients.

In the previous release, a feature was introduced allowing users to edit client balances in the Account Ledger section. In this release, the feature has been updated to include permission-based access. Now, only authorized users can edit client balances. A new permission, 'Edit Client Balance from Account Ledger' has been added to the Roles & Permissions section. Users without this permission will receive a toast notification informing them they are not authorized to edit client balances.

In the previous release, the Etactics clearinghouse was introduced, allowing practices to submit claims and download remittances. With this release, users can now also verify clients' insurance eligibility through the clearinghouse.
12/12/2024 - Resizing Columns for Enhanced Data Visibility
In ICANotes+, you can now adjust the width of table columns to improve data visibility. The columns will reset to their default width when you refresh the page or navigate away and return. To resize a column, hover your cursor between two column headers and drag it left to narrow or right to widen the column.

11/12/2024 - Payer Rules - Improved Clarity in the Rule with Field Prefixes
Previously, when creating a payer rule, the sentence format did not clearly specify which details were being referenced. For example, a rule created to replace the "Billing NPI" would only display "NPI" in the rule, making it unclear if it referred to the Billing NPI, Rendering Provider NPI, or Referring Provider NPI. Now, the exact detail will appear within the rule.

11/12/2024 - Restricted Creation of ICANotes+ Accounts Using Disposable Email Addresses
ICANotes+ now prevents users from creating accounts with disposable email addresses. If a user attempts to sign up with any temporary email providers, they will be prompted to use a different email address. This restriction applies to signing up for new user accounts, inviting users, sending patient portal invitations, creating charts, and adding client contact details.

10/15/2024 - Include Secondary Payer when Submitting Claims to Primary
By default, when submitting a claim to the primary payer, the system will also send the secondary payer details. However, if you prefer not to include secondary payer information, you can opt out.
In the Unbilled Encounters tab, scroll to the right to find the Include P/S column. This allows you to uncheck the box for the secondary payer. To include the secondary payer details when submitting to the primary payer, simply leave the checkbox selected.

Capture Manual Signatures on Notes and Treatment Plans
In addition to capturing electronic signatures, you can now capture manual signatures on notes and treatment plans.
When compiling a note or treatment plan, you will find an option labeled Include blank signature lines for print in the right pane. By selecting this checkbox, blank signature lines will be added to the bottom of the notes and treatment plan.
After printing, you can manually collect signatures from the relevant individuals, such as clinicians, clients, parents/guardians, or others.

06/11/2024 - Use the Billing Address same as the Practice Address when Subscribing to ICANotes+
When subscribing to ICANotes+, you can now enter the billing address to match the practice address by clicking the provided button. On the Billing Address screen, you will find a new button labeled "Same as Practice Address." You can click this button to automatically fill the billing address fields with the practice address.

05/31/2024 - Displayed Note for eRx Setup Fee
Administrators will now see a note on the eRx Setup and Identity Verification page regarding the one-time eRx setup fee. When they navigate to Personal Preferences > E-prescribing tab > Setup & Identity Verification section, a note appears at the top of the screen. The note reads: "Note: Setting up eRx for the Practice will be charged as a one-time fee of $99 for eRx setup."
05/31/2024 - Reverse Adjustment Functionality for Billers
Billers now have the ability to reverse adjustments applied to a client account, ensuring that any mistakenly added adjustments can be accurately removed. This enhancement ensures that the Account Ledger charges and Account Summary are precise.

05/29/2024 - Record Cardholder Presence When Adding a Credit Card Details
To meet Mastercard's compliance requirements, ICANotes+ will now prompt you with a question whenever you add a new credit card: "Is the cardholder present?" You must answer Yes or No before continuing. This question will also appear for saved cards that have not yet been used for transactions. This procedure helps us ensure secure credit card transactions.

05/13/2024 - Encounter Date Label Renamed to Date on All Notes
In this update, we have made a change to the labeling of dates on notes. Previously, the label "Encounter Date" was displayed in the header and footer of compiled notes. We have now streamlined this label to simply "Date." This change has been applied universally across all notes.
05/13/2024 - Ability for the Administrators to Configure Billing Rates for Clinicians
Administrators now have the capability to set up billing rates for clinicians through the Settings menu under Revenue Cycle Management > Clinical Billing Rates. Clinicians can conveniently access these rates via Personal Preferences > Revenue Cycle Management > Clinical Billing Rates. Any adjustments made by administrators will be reflected in clinicians' personal preferences, and vice versa. If either party attempts to modify the billing rate for a service code associated with existing notes, a confirmation message will prompt to apply the updated rate to unfinished notes.

04/30/2024 - View Co-signature Requests Sent to Other Clinicians
Users can now view co-signature requests sent to other clinicians, subject to their assigned permissions. A new permission, "View Other Clinicians' Co-Signature Requests," has been added under Practice Settings > Roles & Permissions to enable this functionality. Only users granted this permission can access and view co-signature requests sent to other clinicians.
04/30/2024 - Lab Order Enhancements

04/30/2024 - Review Denials and Negative Balances on Claims
The ERA Worklist has been enhanced to alert billers about denials and negative balances on claims. In the ERA Worklist, expanding payer details reveals an info icon next to the client name. Hovering over this icon notifies you to review denials/negative balances on the claim. Similarly, expanding client details reveals the info icon next to services with denials/negative balances. Billers can then review and make necessary corrections before resubmitting claims.

04/12/2024 - Enhancement: Prevent Deletion of Notes with Applied Payments or Adjustments within Charges
In instances where a note is associated with one or more charges that have payments or adjustments applied, the system will now restrict the deletion of such notes. A notification will be displayed when attempting to delete the note, indicating that payments or adjustments have been applied to one or more charges. To proceed with deletion, it is necessary to refund payments or reverse adjustments, applied if any.

04/02/2024 - ASAM / Chemical Dependency Assessment
ICANotes+ enables you to document information within the ASAM module, which comprises six dimensions. After recording details for each dimension, you can generate and preview the note from the Recommendation tab. Within this tab, you can enter diagnosis codes, service codes, offer recommendations, document time spent, and insert the highest risk ratings. These entries will subsequently be incorporated into the compiled note.

Electronic Labs and Results
ICANotes+ enables you to electronically place orders and receive results. After successfully integrating with the desired labs, coordinate further configuration with our customer support team. Once the connection is established, you will see an option to place electronic orders when creating a lab order. You can print a requisition after the order is confirmed by the lab. After the lab processes your order and sends back the result, you can access it from the Lab Results screen. You can mark the result as reviewed and map it with the desired notes within ICANotes+. Results can also be accessed from the Documents tab within the chart room.

04/02/2024 - Conditional Display of First and Last Name Fields Based on eLabs Activation
In this release, we're introducing a new capability that controls the visibility of the "First Name (as listed in the NPI registry)" and "Last Name (as listed in the NPI registry)" fields within the Personal Preferences > Personal Information > Identifiers section. These fields will now only be displayed when the "Electronic Labs and Results" feature is activated for the practice.

03/29/2024 - Batch Manual Payment Posting
ICANotes+ provides the flexibility to enter payments and adjustments manually in cases where electronic files are not received. Through this feature, users can accurately record payments and adjustments using the ERA report, ensuring that insurance payments and adjustments are correctly allocated and distributed across designated accounts.

03/13/2024 - Co-signature
Providers now have an ability to request co-signatures from fellow providers for their notes. After creating, compiling, and signing a note, the sender can initiate a co-signature request. The recipient providers will then see the note in their pending co-signatures list and can sign it. Once all co-signatures are obtained, the note is removed from the pending list. If multiple providers are requested to co-sign, the sender can view all signatures on the note with timestamps.

03/13/2024 - Enhanced Feature: Recording Service Code Instances with Identical Numbers
Previously, the system restricted the recording of duplicate service codes. Now, you have the flexibility to add multiple instances of the same service code, provided they have distinct descriptions.

02/28/2024 - Discharge Summary
ICANotes+ enables you to generate discharge summaries for your clients from the compiled notes. When you compile any notes other than the Clinical Summary and Treatment Plan, you can see an option to create a discharge summary within the compiled notes. The Discharge Summary feature allows you to document information such as care summary, assessments, narratives, discharge instructions, referrals, follow-up instructions, and the care team associated with the clients.

12/29/2023 – Manual Labs Orders/Results
ICANotes+ enables practice users to manually submit lab orders to external laboratories. Users have the capability to place orders for multiple tests simultaneously. After placing the orders and obtaining the results, they can manually input the test results. Additionally, users can print requisitions when placing lab orders.

12/29/2023 – Clinical Summary
ICANotes+ enables practice users to generate clinical summaries for their clients. Much like other notes, users can construct a clinical summary, compile it, and capture the clinician's electronic signature. Clinicians have the ability to input narratives that will be included in the compiled note. Within the clinical summary, users can incorporate medical history, diagnoses, adverse drug reactions, medications, and vital signs.

12/20/2023 – Accept / Decline Appointments via Client Portal
The clients can now accept / decline the appointments from their portal. When the clients log on to their portal, they can see the appointments you have created for them in the Upcoming Appointments section with the Accept and Cancel buttons.
12/20/2023 – Manage Clinical Team by Client
The administrators can now efficiently manage the clinical team by clients. Previously, the administrators could add clinical team only when accessing the client's chart. This enhancement allows them to add clinical team members from the centralized location (Caseload Security section) that reduces their time and efforts. The administrators can also modify the principal clinician from the Caseload Security section.
12/20/2023 – New "Payments / Adjustments Report"
The new Payments/Adjustments Report enables the users to generate a detailed report of client and insurance payments and adjustments. This detailed report aids in conducting thorough investigations of any discrepancies, ensuring accurate recording of all received payments to respective accounts and verifying the completion of necessary adjustments. Additionally, it facilitates efficient follow up on account balances and enables necessary adjustments to be made.

12/11/2023 – Caseload Security Feature
The Caseload Security feature provides three customizable options for chart access for clinicians. Clinicians can either be granted access to all activities in shared charts within their clinical team, as determined by the client's Chart Face assignment. Alternatively, their access can be limited to only their own activities in the charts they are assigned to. Administrators retain unrestricted access to all charts and are not bound by these access settings.

12/08/2023 – New Treatment Plan
The Treatment Plan is redesigned with new user interface and flexibility that allows the users easily navigate within Treatment Plan items and record manifestations, long term goals, short term goals, interventions, strengths, and barriers. When you record shrub content in the respective section, it appears in the yellow card where you can make necessary changes to display them in the preview pane.

When administrators make modifications to roles and permissions, the system will now automatically log and display these updates in the Practice Logs section.
10/25/23: New Roles & Permissions feature
The New Roles & Permissions feature empowers practice administrators to assign access rights for practice users. They have the capability to grant specific permissions to practice users, enabling them to carry out designated actions. The practice administrators who wish to establish a fresh role and allocate precise permissions like note creation, note deletion, access to billing reports, and so forth, they can seamlessly achieve this using the newly introduced feature.
