How To Prescribe Controlled Substances

Overview  

Only part-time or full-time prescribers can send prescription requests for the controlled substance to the pharmacy. When you invite users with the 'eRx Administrator' and 'Support eRx' roles in ICANotes+, a request is automatically sent to the clinician. Once the clinician approves the request, the invited users can prescribe the medications on behalf of clinicians.

 

Only the users with the 'eRx Administrator' can prescribe EPCS drugs and queue up for approval. The clinicians can approve the EPCS request and send the prescription to the pharmacy.

 

The part-time/full-time clinicians must,

  • Have DEA Number configured within ICANotes+.
  • Have a Mobile Number recorded in ICANotes+.
  • Go through the ID proofing process through ScriptSure.

 

Configure DEA Number 

The part-time/full-time clinicians must have a DEA number recorded within ICANotes+. 

 

To configure the DEA number, navigate to Personal Preferences > Personal Information > Identifiers as shown in the screen below. Enter the DEA number in the designated field and click Save.

 

 

 

Record Mobile Number for Authentication 

The part-time/full-time clinicians must have a mobile number recorded within ICANotes+. While sending an EPCS request to the pharmacy, the authentication code will be sent to this mobile number. 

 

To record the mobile number, navigate to Personal Preferences > Personal Information > General Information as shown in the screen below. Enter the Mobile number in the designated field and click Save.

 

 

 

 

Grant Permission to Prescribe EPCS Drugs 

When users with the 'eRx Administrator' and 'Support eRx' roles are invited to ICANotes+, a request is automatically sent to the clinician to grant permission to prescribe medications. Once the clinician approves the request, the invited users can prescribe medications on behalf of the clinicians.

 

Clinicians can authorize users (with the eRx Administrator role) to prescribe EPCS drugs on their behalf. However, authorized users cannot send prescriptions directly to the pharmacy. They can prescribe the EPCS drugs and queue them for approval. Only clinicians can send the prescription request to the pharmacy.

 

When clinicians access the Medications section in ICANotes+, they will see the following screen:

 

  • To review access requests, click the "Review Access Requests" button.
  • To skip this step for now, click "Skip."

 

Note: Below are the screenshots when the clinician receives a request from users with the 'Support eRx' role. Similarly, when users with the 'eRx Administrator' role are invited, it will include content for approving EPCS requests.

 

 

 

 

The following screen appears to grant access to the requested users.

 

  • To grant access to specific users, click the Grant button next to their name.
  • To grant access to all the users, click the Grant All button from the header.
  • To deny access to specific users, click the Deny button next to their name.

 

 

 

A confirmation screen appears as shown below to approve the request. Click Yes. This allows the users to prescribe the medications.

 

 

 

Prescribe EPCS Drugs and Queue for Approval 

Once the users gain access to prescribe the EPCS drugs, they can prescribe them through the client's chart > medications section.

 

To prescribe the EPCS drugs,

 

1. Log on to ICANotes+.

2. Create a note that allows access to the prescription module.

3. Access the Manage Medication List tab.

4. Search for any EPCS drug, let's take an example of a 'valium' drug.

 

 

 

 

5. Select the dosage details for the EPCS drug.

 

 

 

6. Select the dosage format from the list.

 

 

 

7. The Prescription Preview screen appears with the EPCS drug as shown below.

8. Review the details and click the Queue to Provider for Approval button.

 

Note: Please set the client's pharmacy before sending the EPCS request for approval. Ensure the pharmacy is set if it hasn't been done yet.

 

 

 

8. The prescription request is sent to the clinician for approval. In the following screenshot, you can locate a note next to the EPCS drug that the controlled substance sent to the clinician for approval.

 

Note: At this moment, if you want to make any modifications to the EPCS drug, you can click the pencil icon to modify the details. You can also click the Delete icon to delete the EPCS prescription request.  

 

 

 

 

 

Approve EPCS Drugs and Send to Pharmacy 

When the EPCS prescription request is sent by the authorized users, the clinician can approve it from the following two locations:

 

  • eRx Notifications screen
  • Client's chart > Medications section

 

On the Dashboard, click the eRx notifications icon (plus icon) as highlighted on the screen. 

 

 

 

 

Click the See All link as shown below:

 

 

The Manage eRx Message appears as shown below with the EPCS drug for approval. Click the Approve button.

 

Note: Clinicians can edit the medication details using the pencil icon before sending them to the pharmacy. They can also delete the requested EPCS drug by entering the reason if they don't want to prescribe it.

 

 

 

Clicking the Approve button starts the ID proofing process. Enter the credentials you have used during initial ID proofing with ScriptSure.

 

 

 

 

Enter the 6-digit code received on your mobile for authentication.

 

 

 

Once authenticated, the following screen appears to proceed with the prescription process. Click the Allow and Send button.

 

 

 

Access the client's chart and navigate to the Medication List tab. You can see the EPCS drug is successfully prescribed and appearing on the client's chart.
