[Rcopia4] Logical Access Control (LAC) Process – ICANotes Administrator Instructions

The provider and administrator will need to be together and on the same computer during this procedure.


This process requires the provider and another user (note: LAC admin must be age 18 or older) with administrative privileges in a DrFirst account.  The administrator can be a current ICANotes user (the instructions are as follows), or, in the case of a sole practitioner, a standalone DrFirst account (can be a spouse, neighbor, child of provider (age 18 or older), etc. if nobody else is available) which is done through the DrFirst website. The purpose of this secondary user is to have a person (other than the provider) verify the provider's identity, which fulfills the requirement set forth by Experian and the DEA.

To prepare for the LAC process, the provider will need to recall their signing passphrase (set up during the identity proofing process) and have an activated token on hand.


Both the provider and the administrator user will need to be present, together, and prepared to enter information onto the same computer.


Steps for completing the LAC process:


1. To start, the administrator will access DrFirst in ICANotes through one of the access points outlined below.

In the Chart Room: Pending e-Rxs button, or the Pharmacy Messages button

2. From the Settings menu at the top left, click to go to Utilities

3. In the Utilities menu, click to go to Logical Access Control (LAC)

4. The administrator will click the radio button next to ACTIVE for the provider they are verifying

5. Then the administrator will type in their first and last name into the Granting Administrator field

6. Next, the administrator will enter the NPI of the provider they are verifying

7. Click to Validate the NPI

8. The provider will now choose which token to use to continue by clicking on the first dropdown field labeled “Choose your Device from list”

9. The provider enters their signing passphrase (created during the Identity Proofing process; this is not the same as the signature password)

10. The provider enters the OTP (One Time Pin) from their token. If using a hard token, this is the 6-digit number on display on the front of the token. If using the soft token, it is the 6-digit number located in the middle of the app

11. Now the administrator clicks the Authorize button. If unsuccessful, a red text error message will appear with instructions on how to proceed further

All set! The provider is now setup to e-prescribe controlled substances.
