If your group has two or more sites and you have individuals in your group who work exclusively at one location, Security Administrators can restrict the records these individuals are able to view in ICANotes based on what site/location they are assigned to.
To begin, make sure that your patients have a location assigned to them. This may be done in the patient's demographics area, using the field at the bottom called "Where Seen."
If the patient is seen at multiple locations in your group, you may add more than one site here.
Then, make sure the user you are trying to restrict has a default site assigned to them. This may be done in Settings, under the Specific to Individual tab.
1. Locate the user's name on the list and click it.
2. Under the Personal Information tab, switch to "Options."
3. On the left, you'll find a dropdown called "Default Site/Letterhead Name." Select the user's work location from the list, and they will be assigned to that site.
4. Access the ICANotes Security Center from Settings using the button.
5. Enter your ICANotes password and click OK.
6. Locate the user's name from the list on the left and click the button.
7. Look under the Restrictions list, and turn on "restrict search to site assignments".
8. Click the green Save button to save the restriction change.
9. Click Back to return to the Security Center.
10. Click the button.
11. Go to the Security tab.
12. Turn on the 'Restrict Search by Site Assignment' Security Group Rule.
13. Click the button.
14. Click the button to return to Settings & Directories.
15. Go to the tab.
16. Go to the More tab.
17. Ensure you are viewing the Site Staff tab.
18. Pick a Site from the dropdown menu.
19. Pick a Clinician from the dropdown menu.
20. Click the button.
21. The site and clinician will now show on the left side.
The selected Clinician will now only be able to see patients that are seen at the Site they are assigned to.
