[Rcopia4] Transitioning from ICANotes Prescribing to e-Prescribing in DrFirst

If you’ve previously used Standard Medications for prescribing within ICANotes and are now e-Prescribing via DrFirst, it’s a good idea to “transfer” the previously ordered medications to the eRx platform. This Knowledge Base will walk you through that workflow.

Begin in a new prescribing note and enter the medication work areas (ex: PN Part 2)

In the Standard Medication List tab (pink), locate the medication order.

In the first dropdown field, change the verb to STOP

Tip: Avoid using the ‘Upload to eRx’ option. While this will send the medication to DrFirst, you would still need to go through additional steps to complete the transfer. Choosing STOP will be less overall work.

Make the same change to all appropriate, active medications from the Standard Medication list, then click Done

Now that the medications have been stopped in Standard Medications, proceed to DrFirst by clicking Go to E-Prescribe

In the Medications widget, click to Add Medication (Alternatively, you can click to Create New Prescription if you intend to send a new script to the patient's pharmacy)

A drug search field will appear. Type in the name of the medication to be added. As you type, DrFirst will make suggestions based on your entry. Select the most appropriate option

Select from the provided dosages. Avoid using the free-text option (as this can lead to undeliverable scripts - if you're creating a New Prescription).

The Add Medication window will appear. Complete all details as necessary, including Provider, Patient Directions, and the Start date, if different from Today (or click the Today button)

Example: Here I’ve recreated the prescription details from Standard Medications (what was previously prescribed) to DrFirst

When finished, click to Add.

The medication is now added to the patient’s Active Medications in the Medications widget.

Follow the same steps to continue adding as many medications as were stopped in Standard Medications, or as necessary. If you've clicked to Create New Prescription instead of Add Medication, proceed to Review and sending the script to the pharmacy.

Further actions may be taken on these prescriptions using any of the Action buttons, located on the far right of the Medications widget

 = Renew from Medication will allow you to create a prescription that has been previously input into the Rcopia4 system. Once you click renew, the prescription will appear in the Prescription Management section. You will not be taken to the Prescribe Medication widget.

 = Prescribe from Medication will allow you to change the details for the prescription (sig, duration, quantity, refills, pharmacy, etc) and then prescribe.

 = Stop will allow you to stop the medication. You will be prompted to enter a reason for stopping the medication (optional, will be displayed in the patient’s inactive medications)

 = Delete will delete the medication. This is not recommended workflow, as it may prevent data from accurately updating within ICANotes. Instead, use the Stop option and provide a reason. If the reason relates to an error, you’ll have the option of specifying that.

When all medications have been reconciled from Standard Medications to DrFirst, click to go Back to ICANotes and your note.

Within the work areas, as well as the compiled note, and Chart Face, you can easily spot the difference between an e-prescribed medication and a drug previously prescribed via Standard Medications, by how they are displayed.

Drugs prescribed in Standard Medications will display with a start date and verb (Start/Stop/Increase/Decrease) while e-prescribed medications, which are listed beneath medications prescribed in ICANotes, will display starting with the drug name:

Finish/compile your note.

Now on the Chart Face, only the e-prescribed medication will show as a current and active medication

The Medication Log – accessible from the Logs tab on the Chart Face – will keep a record of the medications previously prescribed and recently stopped in Standard Medications
