Virtual Assistants HIPAA Compliance

  • Siri, the Apple virtual assistant, and the dictation tool on Macs are not HIPAA compliant. The text and speech processing takes place in Apple data centers rather than on the device itself. Because Apple will not sign a HIPAA Business Associate Agreement (BAA) which ensures company’s HIPAA compliance, the devices are not HIPAA compliant.
  • Amazon Alexa is not HIPAA compliant either.

The built in version of Mac dictation works in TSPlus (screenshots from macOS Monterrey, Version 12.7.6 and Chrome browser).

To set this up

1.  Go to Systems Preferences:

2.  Select Keyboard:

3.  Click Dictation button and select On.

If this is the first time you turned it on, you may be given the option for Enhanced Dictation. This allows for offline use and continuous dictation with live feedback. 

Be sure to create a Shortcut to turn the dictation on/off:

To use

1.  To dictate within TSPlus, go to the top middle of the window and click the down arrow.

2.  Click the clipboard icon.

3.  This will open the TSPlus clipboard. 

If the clipboard needs to be moved, left click on the crosshairs Screenshot for TSPlus Mac Dictation in the top left of the clipboard window and drag to a convenient location on the window. 

4.  Use the shortcut key to start dictation (in my example, I used the default of function key twice) to start. A microphone will show by the side of the browser indicating that the microphone is ready.

5.  Start talking normally to input. You can make any changes via keyboard as necessary. Once satisfied with the dictation, ensure the cursor in the yellow field in ICANotes is where you want to input the newly dictated text, and then click the Screenshot for TSPlus Mac Dictation button to insert into the yellow field in ICANotes.

And on the note: 

6.  You can turn off the Mac dictation by repeating the shortcut. 

You can keep the clipboard open and turn on/off the microphone as necessary. If you are finished with Mac dictation, you can close the clipboard by clicking the Screenshot for TSPlus Mac Dictation button.
