Prescribing clinicians have the ability to select a staff member as their Provider Agent. This gives those staff members permission to create and submit non-controlled prescriptions to the patient’s pharmacy. Please note that for control substances, the prescribing clinician must be the one to authorize sending to the pharmacy.

Levels of permission available for Non-prescribers within DrFirst:

  • FRONT DESK: Front desk staff – ability to add patients, edit patient demographic information, and attach a pharmacy
  • NON-CLINICAL: Front Desk capabilities plus the ability to view patient clinical data
  • CLINICAL: Non-clinical capabilities plus the ability to manage patient allergies and medications, and create prescriptions for the provider to sign
  • PROVIDER AGENT: Non-clinical and clinical capabilities, plus the ability to send prescriptions on behalf of a provider and approve electronic renewal requests. A copy of any prescription generated or renewal action will be sent to the provider

Start by navigating to DrFirst via one of the available buttons in the Chart Room, patient Demographics, or from a prescribing note.

From the menu at the top left, click to go to Utilities

Then click Manage Provider Agent Assignments

Currently Authorized Agents – those already established as Provider Agents – will be displayed in the left column, while Clinical Staff is listed to the right. From the Clinical Staff side, locate the name of the staff member to promote to Provider Agent, and click Authorize. You can also Authorize All to make all listed clinical staff members Provider Agents

The staff member’s name will move to the Currently Authorized Agents column, highlighted in green. To commit to the change, enter your Signature Password and click Approve Changes

You’ll see a brief confirmation of the authorization

Revoking Provider Agent Privileges

To revoke a staff member’s Provider Agent status, navigate to Manage My Agents in the Utilities menu. Locate staff member’s name from the itemized listing and click Revoke. You can also use the Revoke All option to remove all Provider Agents

The staff member’s name will now display in the Clinical Staff column, highlighted in red

Enter your Signature Password and click to Approve Changes

You’ll see a brief confirmation confirming revocation of Provider Agent access

Limiting Providers from Authorizing Provider Agents

Practice administrators have the privilege to control a provider’s ability to assign and manage their own Provider Agents. This setting is found in the Settings menu.

From the menu at the top left, click to go to Settings

Click to enter Location settings

Scroll down to the section labeled “Miscellaneous” and locate the rule for “Allow providers to manage their provider agents”. Click on the dropdown field to set the option from ‘YES’ to ‘NO’

Down at the bottom of the page, click to Save your changes
