Manually Adding a Patient Payment

  • Sections
    • The Date of Service, Clinician, and Site pull from the attached note and can be changed here.
    • Service Charge Totals are shown here (for the complete service charge).
  • The specific service code/charge selected from section D.  This is where edits can be made to the quantity, charge, service code, modifier, description, and amount due.
  • All service charges for the finished note.
    • All payments for note are shown on this tab.
    • The code selected from section D is populated on this tab.
      • The Patient Payment window will open.  Fill out the fields.
    • Enter the amount of payment.
    • Enter the Check Number (if check received).
  • Indicate the source of payment.
  • Click the button.

Manually Adding a Patient Payment 

1.  From the Chart Room, click the Screenshot for Manually Adding a Patient Payment button. 

2.  The Find Patient Account window will pop up. Find the patient by first name, last name, patient ID, or Account ID. Press return to search for the patient.

3.  Locate the patient on the list and click on the patient's name or click the Screenshot for Manually Adding a Patient Payment button by the patient's name.

4.  The patient's account will open. Find the charge that the payment will be applied (if available).  For instructions to add a service charge or edit a service charge, please see How to Add or Edit a Service Charge

5.  The Edit Service window will open.

D.  All service charges for the finished note. 

E.  All payments for note are shown on this tab. 

F.  The code selected from section D is populated on this tab. 

6.  Select the service charge that to apply the patient payment. Open the F tab (from above) to enter the service charge.

7.  Click the Screenshot for Manually Adding a Patient Payment button to add the patient payment

8.  The Patient Payment window will open.  Fill out the fields.

A.  Enter the amount of payment. 

B.  Enter the Check Number (if check received).

C.  Indicate the source of payment. 

D.  Click the Screenshot for Manually Adding a Patient Payment button.  

9.  The payment will show in the All Payments For Note and Code Specific tab. 

10. Once all of the payments have been posted, click the Screenshot for Manually Adding a Patient Payment button in the top right of the window.
