Sending Payment requests via Nexio

To request Payments via Nexio, your practice should have an account established with them before the integration is enabled with ICANotes. If your practice does not already have a Nexio account, please reach out to them at https://nex.io/get-started/  to establish one.

Once you have established service with Nexio, they will email an integration requests to: ticket@icanotes.com. Once we receive the email, the integration will be set up in our end.

Requesting Nexio Payments

ICANotes users may request payments from clients via email and text once paid, details of the payment will sync back into Patient Accounts. Payments requested through Nexio are intended to be addressed quickly. This payment request does not expire. There must be an email address in the Demographics in order to send a Payment Request.
 


Payment Requests can be made from the following areas, which this Knowledge Base will cover in further detail throughout the article. 

Request Payment (Copay) from Event Details in the (new) Calendar:

In the Copay Request window, the Amount, Description, and Patient Responsibility will automatically contain the client's copay information as it is setup in the Insurance Info tab of Demographics. In this window you can choose to send the payment via email or text.

The email address and phone number will pull from Demographics. Click to make "Send email Request". You'll receive a prompt confirming that a payment request has been successfully sent to the patient.

In the meantime, the Event Details window will update to reflect "Copay Requested".

The request will likewise reflect within Patient Accounts via a single line item denoting Copay Request. 

Once the patient has submitted the payment, the copay line will no longer be yellow and now it would have a pencil icon. At this point, you can attach to a finished note or click "Refresh from note" to attach the copay to a service line matching the copay's date.

Requesting Pre-Payment within Patient Accounts

To request a pre-payment in Patient Accounts, start by clicking to Request Pre-Payment.

In the New Pre-Payment Request window, fill in all applicable details for the payment request, including Amount, Site, Clinician and Description. Description is not a required field to send the Payment Request.

Once all details are filled in, click Send Email/Text Request. If either the email or phone number field is missing in Demographics, the respective button will be greyed out and unclickable. 

After the request is sent. A new service line highlighted in yellow will be added into the Account summary. 

When the patient submits the payment. The prepayment service line will turn green. Once a prepayment is applied to a service charge it will not longer be green or yellow.

The client will receive the payment request to their email inbox (This applies for request sent via copay and prepayment request). Here is an example of the email payment request: 

The client will click/tap the link contained in the request to proceed with payment. Advise your patient to take note of the Account ID before moving to the next screen.

If the request was sent via text message, the client will receive the payment request text message


On the secure Nexio site, the client will complete their billing details, including Card information, Name on card, Country/region and Zip. The amount being requested will be listed on the right-side of the screen, as well as the name of the facility; this will be set based on the Site location assigned to the note/service charge within Patient Accounts. 

Upon completing all information and clicking the Submit Payment button, the client will receive confirmation that the payment has been made.
