This knowledge base article will guide ICANotes users on setting up telehealth modifier codes and billing rules.
Group Administrators can add telehealth-specific modifiers to the practice’s Modifier Short List. From the Chart Room, click to go to Settings & Directories.
In Group Level Settings & Directories, click into the Service/Mod Codes tab.
In the Modifier Short List column, use the next available line to type your telehealth modifiers.
In the example below, GQ (Through an asynchronous telecommunications system) and GT (Via interactive audio/video communications systems) were both added to the short list:
To the left in the Service Code Short List, use the next available line to select or enter a service code.
Click into the dropdown to select from a full list of service codes. To add a custom code, click into the field and type any letter. Upon doing so, you’ll be prompted to enter the 5-Digit Service Code and Descriptive Text.
Once entered, click Ok to save the code to your list.
Next, establish telehealth payer rules for your account. For ease of use, create all needed telehealth rules for one user and then use the copy and paste paste to copy to other users, as needed.
Navigate to Settings & Directories.
In the Specific to Individual section, click to go into Billing Rates & Payer Rules.
In Billing Rates, click into the next available field to start building your payer rule.
Select a code from your service code short list the Procedure Code dropdown menu, then tab into the Modifier field. Your Modifier Short List will pop-down to present you with all available options.
Continue building payer rules as needed. You can specify Insurance Payer and build separate rules per payer if different modifiers or billing rates are needed.
Use the Copy and Paste buttons to apply the billing rates to multiple user accounts. Or, if billing rates and/or payers will differ between clinicians, follow the steps outlined above to build additional rules for other users.
