This is a guide for inpatient facilities to print labels for their patients using Microsoft Word.
1. Once MS Word is open, go to the Mailing tab and click the Labels button.
2. Under Delivery Address, put in Patient Name, Date of Birth, Medical Record Number, Attending Physician and Bed Number (or any requirements your facility has). Then click the button under Label.
3. Under your Label Options, choose:
A. Your type of printer
B. The label product from the dropdown menu
C. The product number
Once finished, click the button which will return you to the Labels window.
My example came from a random choice to show you how I found the information to input. The Label products includes MANY choices.
4. When you return to the Labels window, you need to decide if you want a full page of the same label (like if you were making return addresses of your facility) or just a single label. Use the appropriate radio button, and if you are using single, make a note of which row and which column the label will print. When ready, click the button.
5. On the Custom Page Options, you can decide how to load the label paper. When selected, use the OK button to return to the Labels page.
6. If this is your first time printing the label, you may want to ensure that the information you included in the label fits on the label. This is done by clicking the button. Another MS Window page will open showing the label. Since I only printed a single label on row 5, column 3, the label only shows in that area. All the information fits into the label.
7. If the entire information had not fit into the label, I can go back to the Mailings and then Labels in the window that shows the labels. Click on the button. In the Font window you can adjust the Font, Font style, Size, and much more. I found that Calibri (Body), Regular, Size 10 fit into the box well of the selected stickers I had chosen for this demonstration. When done with the font changes, click the
button.
I would suggest clicking the button when you get to the Labels window to ensure all text fits into the sticker field. If not, repeat step 7 until the information fits into the field.
8. When everything looks good, click the button. Once again, you will see where the label will print. Make sure that you have the correct printer selected and number of copies (if desired). When ready, click the
button.
