This knowledge base article will show you how to identify if a note has been electronically signed, if it has been changed since signed, and how to electronically sign a note.
On every note, a ribbon shows describing the status of electronic signature. In the screenshot below, I am demonstrating all three statuses.
- When the ribbon has an x in the bottom right of it, this means that the note has had changes made to it since it was electronically signed. It will need to be electronically signed once again to acknowledge the changes made.
- When the ribbon is just gray, it has not been electronically signed.
- When the ribbon has a green check mark in the bottom right, it has been electronically signed and is a legal document.
On this screenshot, you can see in the bottom left of the note the provider's name is typed in. This is NOT an electronic signature. Notice in the second box that a note stating that "this note has never been eSigned." Under that description is the button that will electronically sign and lock the note.
1. Click the button.
2. The note is now electronically signed and locked. In the box in the bottom left, "Electronically Signed" is indicated by the person who signed the note and the date and time.
On the right, the note states it was eSigned with date and time. If you look under the electronic signature box, you will see that there is also a field for signed copies. One shows up.
3. Even though the note is signed, you can alter it if needed. If I need to add or delete something within this note, I can go back to the work area by clicking the button.
4. I made the changes and compile the note again. Note in the bottom left that the electronic signature stamp is gone. This is no longer an electronically signed document. The note above the electronic signature button states, "This Note was Modified since it was eSigned."
5. Click the button again.
6. The note is now electronically signed and locked again. In the box in the bottom left, "Electronically Signed" is indicated by the person who signed the note and the date and time.
On the right, the note states it was eSigned with date and time. If you look under the electronic signature box, you will see that there is also a field for signed copies. Two show up.
This can be done as many times as necessary.
