Caseload Security and Extended Caseload Security
ICANotes Security Administrators can enable a group rule called “Caseload Security”, which will prevent users (excluding Group Administrators) from viewing charts they are not assigned to. This Knowledge Base article will guide Security Administrators through the process of enabling Caseload Security and Extended Caseload Security, as well as ways to exempt users via new Privileges added to the Security Center. Caseload Security limits access to patient charts so only assigned clinicians can see them, with the exception of administrators, who can see all charts.
Note: The individual privilege "access any chart" gives a user access to all patient charts, even with Caseload Security enabled. However, they will still be restricted from viewing the Documents tab in charts they're not assigned to.
Security Administrators will follow these steps to enable:
From the Chart Room, click to go to Settings + Directories
Then click to go to the Security Center
After entering your ICANotes password you’ll be taken to the Security Center. From the top menu, click to go to Group Rules
In the Mandates tab, locate and click the checkbox to enable Caseload Security
Once enabled, all users should Log Off using available buttons in the Security Center (for Security Administrators) or via the pink Log Off button in the Chart Room. Once logged back in, the Caseload Security rule will be in effect, and only assigned clinicians will be able to view charts in their caseload.
When enabled, Extended Caseload Security will further limit access to note content on the Chart Face and compiled note screen. Note owners, administrators, and those given permission – such as supervisors – are exempt.
Follow the steps above to access the Mandates tab in the Security Center. Caseload Security must be enabled first before the option to enable Extended Caseload Security will become available
Once enabled, all users should log off (using the pink Log Off button in the Chart Room) and log back in to see the new rule take effect.
When viewing a chart in their caseload, users will see their own notes, but will be prevented from seeing notes created by other users (unless they are one of the exceptions mentioned above).

Note previews will also be hidden in the Billing/Productivity Report (Group Administrators excluded).
Via the Security Center, a user can be granted the privilege to “view Chart Face note contents” and/or “view finished note”. Each of these privileges will override Extended Caseload Security for the user.
To access, go to the Security Center, then click the EDIT button (located at the far right) on the user whose account you wish to modify
Both new options (View chart face note contents and View finished note) are located at the bottom of the Privileges column
Please note: These privileges are only applicable when Extended Caseload Security is enabled.
