ICANotes has several options regarding security on the Group and Individual levels. This guide will outline:

  • What each options does.
  • Where each option is located.
  • Link to a guide specific on the feature where applicable.
Group Level Restrictions:   Caseload Security

Caseload Security limits access to patient charts so only assigned clinicians can see them, with the exception of administrators, who can see all charts. 

Extended Caseload Security

Caseload Security must be enabled to utilize Extended Caseload Security. When enabled, Extended Caseload Security will further limit access to note content on the Chart Face and compiled note screen. Note owners, administrators, and those given permission – such as supervisors – are exempt. There are options to override this for an individual user in the Security Center.

  Individual users can be exempted from the limitations of Extended Caseload Security restrictions using the privileges below: View chart face note contents: Works in conjunction with Extended Caseload Security. When enabled, this privilege will show/hide the note contents preview from the chart face. View finished note: Works in conjunction with Extended Caseload Security. When enabled, this privileged will show/hide the ability to view the finished note

Please Note: The individual privilege "access any chart" gives a user access to all patient charts, even with Caseload Security enabled. However, they will still be restricted from viewing the Documents tab in charts they're not assigned to.

Restrict Search to Site Assignment

Users assigned to a given site in Group Level Settings & Directories, may only search for and locate patients at their assigned site from the Chart Room and quick search from the Chart Face. All other patients are invisible to them

Screenshot for ICANotes Security Options    Users will need to be assigned to the sites they are seeing patients in the Group Level Settings & Directories by a Group Administrator, this is covered in the Individual Restrictions section further down in this guide.   Please see this Knowledge Base article for more details on setting up Site Staff for your practice.            Individual Restrictions:   Restrict search to site assignments: Only allows user to see and search for patients at the site they are assigned to. This restriction needs to be used with the Group Rule listed above.   Please Note: This restriction only applies to Chart Room and Chart Face searches, patients will be accessible from the Patient Account, reports and other areas.     Restrict to their own calendar: Prevents users from seeing other users' calendars. A user that has this restriction ON will not be able to view appointments from the Legacy or New Calendar. (this is typically used with the privilege to add/edit calendar events set to OFF and the restriction to their own calendar events ON) Please Note: Users with his restriction ON will be able to see appointments on the Quick Calendar and Appointment History that are not theirs.     Restrict access to Documents tab:  User will not be able to access Document tab shown on a patient's Chart Face.  Screenshot for ICANotes Security Options    Please see this Knowledge Base article for more details on user permissions in the Security Center.     Restrict Assess to Upload Site:  ICANotes offers the option to prohibit a user from accessing the Upload Site entirely.
