Using the General Appointment Report in the calendar, a batch eligibility request can be generated within ICANotes and sent electronically to Waystar/Navicure for checking a patient's insurance eligibility. The file is sent along the same pathway as electronic claims when they are prepped and submitted from the Billing report, using your SFTP credentials to connect your ICANotes account to Waystar/Navicure. In addition to electronically sending the batch eligibility request to the clearinghouse, a copy of the generated file will be available for downloading via the ICANotes document site at upload.icanotes.com.
In order to enable this feature, a Security Admin must submit a request to ticket@icanotes.com. In order for this feature to function, Integrated Eligibility must first be enabled. A request to enable Integrated Eligibility and Batch Eligibility can only be authorized by a Security Administrator. Before attempting to make Eligibility requests from within ICANotes, be sure that the feature is enabled with Waystar and that all proper initial setup has been completed. This guide covers the initial setup in detail: Integrated Eligibility with Waystar.
1) First, navigate to the Calendar and open the Reports menu
From the New Chart Room
From the Classic Chart Room
2) Select the General Appointment Report
3) Once filters are set, click on View/Export/Print
4) In the report preview, click on Queue Eligibility Batch
This will generate an ANSI message (270), convert it to XML which sends to the clearinghouse (Waystar), then ICANotes receives an XML, translates the ANSI, and then parses the ANSI into read-only information which can be viewed on the Integrated Eligibility tab.
Once the requests have been generated, a confirmation message will appear. It is recommended to reach out to your clearinghouse to confirm receipt of the batch. Please allow up to one minute for the claim file to arrive on the clearinghouse website.
To view the results of the Eligibility Requests, first navigate to the patient's demographics.
1) From the Insurance Information section, click into the Eligibility tab.
2) If you want to see all the benefits, click the button. You will see the entire benefit details by scrolling up and down in the popover button.
