Text Reminders in English and Spanish

Question:  How can I send out a text reminder in English & Spanish?


Answer:  While Spanish language text reminders are not currently a feature within ICANotes, for customers wishing to send appointment text reminders in Spanish you can utilize custom settings in the SMS Reminder Settings of the Patient Portal. ICANotes is required to include the Provider's name as well as "Appt Reminder:" in the beginning of the SMS text and "To unsubscribe reply STOP" at the end of the text message.  


1. Login to the Patient Portal from the admin side at https://patientonlineportal.com/admin/ with your ICANotes credentials.

2. From the toolbar click on Admin Tools.

3. Click on SMS Reminder Settings.

ICANotes is required to include the Provider's name as well as "Appt Reminder:" in the beginning of the SMS text and "To unsubscribe reply STOP" at the end of the text message.

4. Click in the Reminder Text box to start modifying the default message.

5. Use the blue buttons to populate code that will automatically pull information from the patient’s appointment, including their name, the location of their appointment, and the time, date, and day of the week.

You can include both English and Spanish versions of your reminder, but keep in mind that every character counts. If your text exceeds 85 characters the message will be broken up into two or more text messages.

6. You can follow this same process for the second reminder (if enabled) as well as the notification reminder (if enabled).


7. Alternately, you could also arrange to have the first reminder in English, and the second reminder in Spanish, which would send both to the patient.


8. Please note: the confirm/cancel text, if enabled, will be written in English, as this text is not editable.

9. It’s a good idea to preview your text reminder before saving. Click Screenshot for Text Reminders in English and Spanish button.

10. When you’re finished, click the Screenshot for Text Reminders in English and Spanish button on the bottom, and look for a confirmation pop-up in the bottom right corner of the Portal.
