Requesting Client Payments via Stripe

To request Stripe be enabled for your practice, a Security Administrator will need to contact ICANotes and request the functionality be enabled. They can email requests to: ticket@icanotes.com. Once you have this enabled and you have established service with Stripe, you can enable the integration.   Please Note: Your practice should have an account established with Stripe before the integration is enabled with ICANotes. If your practice does not already have a Stripe account, please reach out to them at https://stripe.com/ to establish one.      Enabling Stripe Payment Integration   From the Chart Room, click on the Settings & Directories Drawer.   Chart Room (Classic): Screenshot for Requesting Client Payments via Stripe   Chart Room (New Layout): Screenshot for Requesting Client Payments via Stripe   From Settings & Directories:   1. Click on the blue Group Level Settings & Directories tab. 2. Click the Integrations tab.  3. Click the CC Processing tab. 4. Enter the Stripe Publishable Key and the Stripe Secret Key (obtained from Stripe).   Screenshot for Requesting Client Payments via Stripe    Please Note: If you are using the Clipboard on the Browser Based version of ICANotes, you will need to use the To IME button to avoid errors that will cause the information to be populated incorrectly.   Screenshot for Requesting Client Payments via Stripe        Requesting Client Payments via Stripe   We have updated our payment collection functionality to allow for processing via Stripe, which supports Apple Pay and Google Pay. With this functionality, ICANotes users may request payments from clients via email and once paid, details of the payment will sync back into Patient Accounts. Payments requested through stripe are intended to be addressed quickly. The Payment Request will expire within 24 hours if it has not been paid. There must be an email address or phone number in the Demographics in order to send a Payment Request.   Payment Requests can be made from the following areas, which this Knowledge Base will cover in further detail throughout the article.    1. Request Payment (Copay) from Event Details in the Calendar:   Calendar (New Layout): Screenshot for Requesting Client Payments via Stripe   Calendar (Legacy): Screenshot for Requesting Client Payments via Stripe    Payment requests can be made directly from the client's scheduled appointment within the Calendar. This is an ideal workflow for requesting payment for co-payments. To start, open the Event Detail windows for the scheduled appointment.    In the Copay Request window, the Amount, Description, and Patient Responsibility will automatically contain the client's copay information as it is setup in the Insurance Info tab of Demographics.    Screenshot for Requesting Client Payments via Stripe   You have the option to send (A) Send Email Request or (B) Send Text Request. The email address and mobile phone number will likewise pull from Demographics. Click to make a selection. (If no email address or mobile phone number are present, the field will simply remain blank.)    You'll receive a prompt confirming that A Stripe payment request has been successfully sent to the patient.   Screenshot for Requesting Client Payments via Stripe   Depending on which option you clicked the client will either receive an email or text message.    Example: Send Text Request Screenshot for Requesting Client Payments via Stripe   In the meantime, the Event Details window will update to reflect "Copay Requested". &nbsp
