With a few simple steps, ICANotes users can choose to assign custom ID numbers rather than generating a random ID in patient Demographics. The custom ID numbers can begin at a starting interval, such as 1001, and count up, assigning chart IDs sequentially (1002, 1003, and so on).
First, Security Administrators will need to enable a specific group rule for their account, and a Group Administrator (or Security Administrator with Group Administrator privileges) will provide the starting chart ID number.
From the Chart Room go to Settings, then to the Security Center (you’ll be prompted to enter your ICANotes password)
In the Security Center, click to go to Group Rules
In the Defaults tab (1) click to enable the rule ‘Generate Custom Patient ID’ (2), then Log Off (3) from ICANotes.
Please note: If any other users on your account are logged in at this time, they will also need to log off (via the pink Log Off button at the top right of the Chart Room) and log back in to see these changes take effect.
Log back into your ICANotes account.
Group Administrator access is required to navigate to group level Settings and Directories (1), then to the More tab (2), and in the Miscellaneous Rules (4) section enter a Next Unique Patient ID # (4)
Once you click into the field, you’ll see a prompt for the next unique patient ID number to be a chart. Enter the starting number, then click OK
You’ll see the number populate in Settings and Directories
Note that if your entered number contains leading zeroes – such as 0001 – ICANotes will ignore the zeroes and start at the number entered – 1. The next chart ID number generated would be ‘2’. Then ‘3’, and so on.
In Demographics click to Generate ID#
And the next number in the sequence will be applied to the chart
