Sharing Documents, Notes and Treatment Plans to the Client Portal

Start by locating the chart from the Chart Room or Calendar. You will be able to Share or Share to SignChoosing the option to Share will simply share a copy of the document, note or treatment plan to the client's portal for downloading. To request the client's signature you will need to specifically click Share to Sign. Only clinical notes and treatment plans can be shared to sign currently.

From the Chart Face, click into the Documents tab. 


 

Look for the note, treatment plan or document you wish to share. In this example we are sharing the client's treatment plan for the purposes of obtaining their signature. Look for "Treatment Plan" (or "Progress Note", "Complete Evaluation", etc) under the Type column and notice the Share Status to the right. If the document is "Not Shared" then the client will not see it from their portal. 

 

To the right of the Share Status, click on the three-dot icon to access note settings to expand the menu:

 

 

 

Click Share to Sign. Choosing the option to "Share" will simply share a copy of the document/note/treatment plan to the client's portal for downloading. To request the client's signature you will need to specifically click Share to Sign

 

  

 

 

You'll see a notification on the bottom of your screen confirming the document has been shared for signing:

 

 

 

 

At this time, the client will receive an email informing them they have a new message in their Portal. The client will click the link contained within the email to login to their portal account. 

 

 

 

 

Upon logging in with their username and password, they will be taken to their inbox to view the Record Request, which states, "You have been granted access to the requested document. Click here to view it." 

 

 

 

 

The client will click on the provided link, or they can navigate back to the main portal screen to access My Documents

 

 

 

 

All shared documents will be itemized and can be sorted by NameTypeAction, and Assigned on date. For the treatment plan in need of a client signature, the Action column will display as "Pending Review". 

 

  

 

 

The client will click to review the treatment plan then click Electronically Sign

 

 

 

 

They'll be prompted to sign using their mouse/pointing device.

 

 

 

 

 

 

Click Save

 

The client's signature will save and be immediately visible on the note/treatment plan, and the "Electronically Sign" button will be grayed out. 

 

 

 

 

The client can return to My Documents, where the signed treatment plan will now display as "View" under the Action column. They can click to download a copy of the note/treatment plan to their local device. 

 

Meanwhile in ICANotes+, the client's chart will update automatically to display the signed note/treatment plan from the chart face and the Documents tab.
