The refund feature can be used by both customers processing payments with the ICANotes+ credit card processing feature and by customers who simply record a payment without processing the charge using our payment processing feature.
Navigate to client's chart and click the Account button from the top bar. From there, expand the Account Payments/Adjustments accordion. Locate the payment that needs to be refunded and use the Refund button on the far right to initiate a refund.
The transaction details will appear for review.
Partial Refund can be made only from the Account/Adjustment tab. On the calendar, only full refund can be made.
Enter a refund amount, description and click Refund Payment.
You will see a message confirming your refund is in progress.
A notification will appear in the application when the refund has posted to the client's Account Ledger.
Click the bell to see the notification.
You may click on the notification itself to navigate to the client's account, where you will be able to review their Account Payments/Adjustments.
The Refund button is grayed out when a full refund has already been processed for a payment. For partial refunds, a separate entry appears in the table for the refunded amount, and the Refund button is also grayed out for that entry.
If you use our credit card processing integration, you will be able to login to the Nexio Dashboard to see the transaction status as either voided or refunded depending on if the transaction had a settled status.
