Part-Time Clinician Note Limit

Overview

ICANotes+ offers a part-time clinician subscription plan that includes a monthly note creation limit. This article explains how the note limit works, what happens as you approach or reach the limit, and how to take action if needed.

Monthly Note Limit

Part-time non-prescribing clinicians are limited to 60 notes per billing cycle. A billing cycle spans one calendar month, starting on your billing date. For example, if your billing date is the 5th, your cycle runs from the 5th of the current month through the 4th of the following month. When you create your 51st note within the billing cycle, a warning appears to alert you that you're nearing the 60-note limit.

Part-time prescribing clinicians are limited to 100 notes per billing cycle. A billing cycle spans one calendar month, starting on your billing date. For example, if your billing date is the 5th, your cycle runs from the 5th of the current month through the 4th of the following month. When you create your 91st note within the billing cycle, a warning appears to alert you that you're nearing the 100-note limit.

The following note types are included in the monthly note count and contribute toward the note limit defined by your subscription plan.
  1. Progress Note
  2. Case Management
  3. Complete Evaluation
  4. Couples/Family Therapy
  5. Quick Note
  6. SOAP Note
  7. Clinical Summary
  8. Discharge Summary
  9. ASAM
  10. Group Therapy Progress Note

ICANotes+ provides proactive alerts to help part-time clinicians track their usage and avoid disruptions in documentation

The warning/alert sections beow include screenshots for non-prescribing clinicians, who have a 60-note limit. Prescribing clinicians will see similar warnings when approaching their 100-note limit.

Warning: Approaching Note Limit

When you create your 51st note within the billing cycle, a warning will appear. This message alerts you that you're nearing the 60-note limit.

  • For non-administrators:
    You'll see a message prompting you to contact your practice administrator if an upgrade is necessary. You can also check the box labeled “Don’t show this warning again. 60 notes is more than enough.” to dismiss future warnings during the current billing cycle.


  • For practice administrators:
    You'll see a similar warning along with an Upgrade button. Selecting this button navigates you to the Account Management tab in Settings, where you can modify your subscription.



Alert: Note Limit Reached

When you reach the 60-note limit, you will no longer be able to create additional notes unless your subscription is upgraded.

  • For non-administrators:
    An alert will inform you that you've hit the limit. Contact your practice administrator to upgrade to a full-time subscription. If you don’t need to exceed the limit, you may close the alert.


  • For practice administrators:
    The alert includes an Upgrade button that links to the Account Management tab in Settings. You may choose to upgrade your subscription or dismiss the alert if no further notes are needed.



Note Limits Based on Subscription Type 

The number of notes a clinician can create depends on their subscription type. A warning appears when they are approaching the limit.
