Before beginning the steps below, providers should ensure their NPI, State License and DEA (required if setting up EPCS for prescribing controlled substances) are set up in their Personal Preferences.
The process to set up eRx starts with the owner of the practice. The owner must have a prescribing clinician subscription plan or another active user must be set up with a prescribing clinician subscription plan.
The practice owner must subscribe using the Subscribe Now button in the purple banner displayed in the Dashboard. This guide will walk you through how to convert your trial to a paid subscription.
The provider must be set up with a Prescribing Clinician plan type in order to proceed with eRx set up.
Once subscribed, the owner will navigate to their Personal Preferences (click the arrow next to your name in the upper right corner) and open the E-Prescribing tab.
Now that step 1 is complete, you will need to schedule a meeting with our onboarding team. Please reserve 1 hour for this meeting.
If you are both the practice owner and the prescriber: Click the Request a Meeting button to schedule a meeting with our eRx onboarding team.
If you are the practice owner but you are not the provider: You will be prompted to select the prescriber in order to Request a Meeting. Both you and the prescriber need to attend the onboarding meeting.
Upon requesting a meeting, you will be prompted to select the date and time that works best for you.
After selecting the date and time, you will be prompted to fill out your contact information. When done, click Complete Appointment to confirm and schedule your meeting with our eRx onboarding team.
You will see confirmation that your meeting has been scheduled. You have the option to add this to your calendar, cancel, reschedule, or simply use the X to close this window.
You will receive a confirmation email as well.
Upon returning to the E-Prescribing tab, you will see Step 2 is now pending.
After attending your meeting with the eRx onboarding team, this step will be marked complete.
Registration and ID Proofing is a one time process that should take providers about 30 minutes to complete.
Providers are required to perform identity verification to be compliant with DEA regulations for electronic prescriptions for controlled substances (EPCS). It is important that providers perform their own identity verification.
ScriptSure is partnered with ID.me for the identity verification process. ID.me’s DEA‐compliant identity verification allows healthcare providers to verify their identity one‐time and create credentials they can use to securely issue electronic prescriptions for controlled substances from ICANotes+ via ScriptSure.
Important Note: You can only have one ID.me account. If you have had an ID.me account before, you will need to use that account to start the ID.me process.
What You’ll Need: Before getting started, providers should have on‐hand: an email account they have access to, a smartphone or tablet, and a government‐issued photo ID. Providers will be asked to enter their Social Security number.
Back on the E-Prescribing tab within Personal Preferences, click the Set up & Verify Identity button to proceed.
You will be prompted to complete missing information, if needed. These fields are required and must be completed to continue with set up. Click Save when ready.
ScriptSure E-Prescribing Account:
Upon saving, you will be brought to the ScriptSure set up page to create a ScriptSure account.
Your information will pull from ICANotes+. If you need to make edits to this information, you must return to ICANotes+ to do so before proceeding. Edit cannot be made on this page.
Review and check the box to agree to the terms of service, privacy policy and code of conduct. Check the box to confirm you are not a robot and then click NEXT.
Confirm your email address and phone number in step 2 and then click NEXT.
Enter all the identification numbers you require to be on your prescriptions in step 3. You must enter a DEA License number in order to e-prescribe controlled substances. Click NEXT when done.
Review your information in step 4 and use the COMPETE SIGN UP button to proceed.
Identity Proofing:
Upon completing your ScriptSure set up, you will be brought to the ID.me website to completed identity proofing.
IMPORTANT: If you already have an ID.me account, simply sign in to your existing account on this page.
Providers should have on‐hand: an email account they have access to, a smartphone or tablet, and a government‐issued photo ID. Providers will be asked to enter their Social Security number.
Enter an email you have access to, set a password, accept the terms of service and select Create account to proceed.
Next, confirm your email address by logging into the email used and click the Confirm button within the confirmation email. Follow the on screen prompts if you have issues finding or confirming your email.
Note: If you signed into your existing ID.me account, you will not be required to perform email confirmation.
Upon confirming, a new browser tab will open to notify "Your email has been confirmed!".
Next, secure your account with multi-factor authentication.
Multi‐factor authentication adds an additional layer of security to your account. For future ID.me logins, you will authenticate with the method you setup in this step. Be sure to use a device you plan to have on your person when e‐prescribing.
Select either Push Notification or Code Generator Application. Do not select Security Key.
Push Notifications will appear as a banner on your device upon sign in that you simply tap to authenticate and authorize your login.
Code Generator Application will allow you to access a code generated within the authenticator app.
Upon making your selection, you will be prompted to download the ID.me Authenticator app on your smartphone or tablet. Follow the on‐screen prompts to download the app and click Continue.
NOTE: If you are planning to use your smartphone as your authentication device, choose Text Message to receive the download link and enter the phone number of the smartphone you will use. If you are planning to use a tablet device, choose to receive the download link via email.
Follow desktop and smart device prompts to download and configure the ID.me Authenticator. You will receive a text message or email with a link to download the ID.me Authenticator app. Open your text messages/email and click the link to get started with app download. Follow on‐device prompts to complete setup. Be sure to click or tap on the green “Yes” to complete your setup (if you chose to set up Push Notifications).
After downloading the app and completing your MFA/2FA set up, you will be notified that “YOUR ACCOUNT IS SECURE”.
Generate a recovery code in case you lose access to your MFA/2FA device for swiftest account recovery. Follow on‐screen prompts to copy or download your recovery code. Once you have copied down or stored the recovery code, click Continue.
Next, you'll need to verify your identity. Choose the method you prefer to verify your identity. You will be asked to prove that you are who you say you are by providing evidence such as uploading a photo ID and taking a live selfie. You will also be asked to enter your SSN. Information entered into ID.me’s workflow is encrypted while at rest and in‐transit and completing the verification process will not hurt your credit score.
NOTE: If asked to enter a phone number, attempt to enter a phone number for a device that is in your possession and may be associated with you in financial records. This device does not have to be the same device utilized for MFA/2FA.
Choose verification method, such as a driver's license:
Submit Photos: Select option 1 or 2 below and follow the prompts to submit your photos.
Option 1: Take a photo with my device: This option will allow you to take a picture with your phone. a. Enter your cell phone number and click “Continue”. b. Then check your cell phone for a text message. (see next page for next steps)
Option 2: Upload an image: This option will allow you to upload a file and can be used if you have a saved picture of your document.
On your cell phone:
1. Click the link in the text message.
2. Click “Take a photo” to take a picture of the front of your document.
3. Select “Take Photo”
4. Align your ID in the box and hold to capture the photo.
5. Repeat the process for the back side of your ID. When the front and back have been completed, hit “Continue”.
When you see the Upload Successful message, go back to your other browser to complete the next steps.
Enter your social security number and click Continue.
Review to confirm your information is displayed correctly and check the box to confirm before clicking Yes to continue.
Next, you'll need to take a video selfie.
Click “Take video Selfie” or "Take a selfie with my webcam".
Follow the prompts to take the selfie. (See helpful tips below)
• Take the selfie / video selfie "straight on", and not at an angle.
• Use portrait orientation.
• Make sure your whole face is visible.
• Turn off the flash on your camera.
• Make sure there is no glare.
• Make sure you are in a well-lit room.
Click Continue when it shows it was successful.
Next, verify your medical credentials (NPI/DEA). Enter your Provider Type, NPI Number, State and DEA Number (for EPCS) then click Continue.
Verify your information is correct and click Continue.
If verification is successful, you will see a "You're Verified" message and will need to follow on‐screen prompts to continue to the next step.
If verification is unsuccessful, follow these steps to get assistance with completing your verification.
The last step is to select Allow, authorizing ScriptSure to receive your verified identity information and enable eRx in ICANotes+.
Return to your ICANotes+ session to see that step 3 is now complete (you may need to refresh the page).
You may now access eRx in ICANotes+!
When a new prescriber completes eRx registration and ID Proofing, a staff admin must be given eRx permissions to approve their EPCS request. This will enable the prescriber to send controlled prescriptions. The approval is only necessary one time per prescriber. Prescribers will not be able to send controlled prescriptions until this step has been completed.
If you attempt to prescriber a controlled substance in ICANotes+ without completing this step, you will see the message below.
To set up a staff admin with eRx permissions, navigate to Settings > Account Management and use the Edit button next to the staff user's name.
Note: If the staff admin user has not been added yet, use the Invite User button to set up their access and email them an invite to register their admin account.
The role for the staff user must be listed as Staff Administrator (with eRx) to approve the provider for EPCS.
Once the staff admin with eRx permission has been designated, the provider will need to access the eRx module to accept the terms of agreement and to grant access for the staff admin.
The provider will navigate to a client chart and make sure the client has an address and phone number listed in demographics (these are required before you can access eRx for a client). Use the Edit button to add or make changes to these fields.
For the purpose of accessing the eRx module, navigate to the Chart Face and open a Progress Note. Continue to PN, Part 2 and select the Enter button next to Medications.
You will see a Medication List tab. Click the Manage Medication(s) button to launch into the eRx module.
You will be presented with two back to back prompts. First, review and agree to the End User License terms and policies. Next, review the access request for the staff administrator.
You will see the staff administrator listed in the lower left corner of the Access Requests window. To allow this user access to eRx and to prescribe on your behalf, click the Grant button.
A second window will appear to confirm your request.
Next, the staff admin user will log in to access the eRx module to approve the provider for EPCS.
The staff user will navigate to a client chart open a Progress Note. Continue to PN, Part 2 and select the Enter button next to Medications.
You will see a Medication List tab. Click the Manage Medication(s) button to launch into the eRx module.
The staff user will also see two back to back prompts. First review and agree to the End User License terms and policies. Then, review the EPCS Request for the provider.
Next, read the prompt that explains the DEA's requirement for admins to one-time approve a prescriber for EPCS. To proceed, click Approve.
The provider has now been approved for EPCS!
Unsuccessful Self‐Serve Verification
If ID.me is not able to verify your identity via self‐serve workflow, a real person from ID.me’s team may need to assist in completing your verification. About 3‐5% of providers who complete ID.me’s self‐serve workflow need to talk with a real person on ID.me’s team to complete their identity verification. ID.me’s in‐person service to complete identity verification is completed virtually, via video chat.
Not all who see an error code or RETRY button will be required to perform a video session to complete identity verification. Users are required to RETRY verification once before being presented the option to connect to an ID.me team member.
If ID.me is unable to verify your identity via self‐serve workflow, you will see a RETRY button. Select RETRY to proceed. You may choose a different verification method than on your previous attempt or attempt the same method again. You must RETRY verification to continue.
If the retry is successful, follow on‐screen prompts to proceed to the next step of the workflow.
If the retry is unsuccessful, you will be presented with the option to VERIFY IDENTITY VIA VIDEO CALL or to Retry Verification.
Verify via Video Call: Select VERIFY IDENTITY VIA VIDEO CALL to connect to a certified ID.me team member, called a Trusted Referee, to complete your verification.
Completing your Virtual In‐Person identity verification should be simple and fast. Once you are in the video call, it should only take a few minutes to verify your identity.
To Get Started, follow on‐screen prompts to upload additional documents and take a Selfie.
After your documents and Selfie are uploaded, you will be connected to an ID.me team member to perform Virtual In‐Person identity verification.
NOTE: The document upload and Selfie are required to proceed to the video session.
If you don’t have the documents needed on‐hand, use the SAVE SESSION AND EXIT button at the bottom of the screen to save your spot in the workflow. You will be sent an email with a link to click in order to return to the same spot in the workflow (with the documents and/or selfie you have uploaded saved).
Documents ready? Click the link included in your Save Session and Exit email to return to the same spot and continue the workflow.
