How to Schedule an Appointment for Clients
Overview
ICANotes+ allows you to schedule and manage client appointments efficiently. You can create one-time or recurring appointments, modify existing appointments, delete appointments when necessary, and update their statuses. This guide provides step-by-step instructions for each of these actions.
Step 1: Scheduling an Appointment
To schedule an appointment for a client:
Select Calendar from the left sidebar.
Click on the desired time slot on the calendar.
The Add Appointment screen appears.
Enter the appointment details.
Click Create.
Once scheduled, the appointment will appear on the calendar. Hover over the appointment slot to view additional details.


Step 2: Scheduling Recurring Appointments
To schedule a recurring appointment:
Follow steps 1-3 in the "Scheduling an Appointment" section.
Select the Repeating Appointment? checkbox at the bottom of the Add Appointment screen.
Select the desired interval from the Repeat Interval dropdown (e.g., Weekly, Biweekly, Monthly, Every 4 Weeks).
Specify the number of occurrences in the Repeat Times field.
Click Create.
The recurring appointments will now appear in the calendar.

Step 3: Modifying Appointment Details
To modify an appointment:
Click on the scheduled appointment slot.
The Session Details screen opens.
Click the Edit icon.
Modify the required details.
Click Update.
If modifying a recurring appointment, a prompt will appear asking if changes should apply to only this occurrence or all occurrences.
Step 4: Deleting an Appointment
To delete an appointment:
Click on the scheduled appointment slot.
The Session Details screen opens.
Click the Delete icon.
Confirm the deletion in the prompt.
The appointment will be removed from the system and the client portal. A success message will confirm the deletion.
Step 5: Changing Appointment Status
To update an appointment status:
Click on the scheduled appointment slot.
The Session Details screen opens.
Select the appropriate status from the Status dropdown.
Click Save.
Available statuses:
Occurred
Cancelled
Late Cancellation
No Show
Rescheduled
Scheduled
Requested
Confirmed
Arrived
Checked In
