How to Queue Medications for Processing

Overview 

In ICANotes+, staff members without prescribing access can place medications in a queue for approval. Clinicians with prescribing access can then approve and prescribe these queued medications. This knowledge base article provides guidance for staff users on how to record medications and place them in the approval queue.

 

 

Add Medications to Queue List 

Perform the following steps to add medications to the queue list for approval.

 

  1. Log on with the staff role who doesn't have access to prescribe medications.
  2. Access the client's chart and create a note that allows you to prescribe a medication.
  3. Create a Progress Note in this example and select the PN, Part 2 tab.
  4. In the Medication box, click the Enter button as depicted in the below:

 

 

The Medication List tab appears as shown on the screen below. Click the Manage Medications button.

 

 

 

Click the Prescribe New Drug button as highlighted in the screen below:

 

 

 

The various categories appear as shown in the screen below. Select the desired category and then select a medication to queue for approval.

 

 

 

On the Drug Details screen, select the dosage details.

 

 

 

Once you have the drug details, select the pharmacy to send the prescription. If the pharmacy is not added for the client, add a pharmacy. Once you select the details, click the Queue to Provider for Approval button as shown below.

 

 

 

Approve Queued Medications

Whenever there is any request for prescribing medications awaiting your approval, you will be notified of the same. On the Dashboard, you can access the eRx notifications screen to view a list of requested medications. Alternatively, when you access the Manage Medications List tab within the client's chart, you can view medications there as well for approval. 

 

Approve Medications from the eRx Notifications Screen 

Perform the following steps to approve the medications from the eRx Notifications screen and send them to the pharmacy.

 

1. Log on with the clinician role with a part-time/full-time plan type.

2. On the Dashboard, click the eRx notifications icon (plus icon) as highlighted on the screen. 

 

 

 

 

3. Click the See All link as shown below:

 

 

4. The Manage eRx Message appears as shown below with a list of all medications for approval.

5. Click the Approve button to approve and send medication to the pharmacy. 

 

Note: You can edit the medication details using the pencil icon before sending them to the pharmacy. You can also delete the requested medication by entering the reason if you don't want to prescribe it.

 

 

6. Clicking the Approve button opens the following screen. Review medication details and click the Send to Pharmacy button.

 

 

 

7. Review medication details and click the Approve and Send button.

 

 

 

 

 

Approve Medications from the Manage Medication List Screen 

Perform the following steps to approve the medications from the Manage Medication List screen and send them to the pharmacy.

 

1. Log on with the clinician role with a part-time/full-time plan type.

2. Access the client's chart > open a note and navigate to the Manage Medication List tab.

3. Locate a list of medications requested for approval. Click the Approve button.

 

Note: You can edit the medication details using the pencil icon before sending them to the pharmacy. 

 

 

 

 

4. Review medication details and click the Approve and Send button.

 

 

 

Delete Medications During the Approval Process 

When you access the eRx Notifications for approving medication requests, locate the Delete icon as highlighted in the screen below: 

 

 

On clicking the Delete icon, the following screen appears. Enter the reason to delete the medication request and click Yes.
