ICANotes+ enables you to create group appointments from the calendar. Before creating a group appointment, you must configure group appointment types. This article guides on configuring group appointment types and scheduling group appointments from the calendar. It also explains how to access group appointments from the Quick Calendar section.
To schedule a group appointment, you must first configure group appointment types. Navigate to Settings > Calendar Settings > Appointment Types. Click the ADD TO LIST button as shown below.
The Add Appointment Type screen will appear. Enter the appointment type and default duration, and select the Group Appointment checkbox. Choose the service codes for the group appointment type, then click Add.
Once you add a group appointment, the Group Appointment column will display "Yes" for these appointments, indicating that the appointment type configured is a group appointment type, not an individual appointment type.
To schedule a group appointment, navigate to Calendar > Add Appointment. The Add Appointment screen will open, with the fields for group appointments explained beneath the screenshot.
In the Appointments tab, you will find two options at the top: Individual and Group. Select the Group option.
Group: This dropdown will display a list of therapy groups you have configured. Select the desired group to book an appointment.
Participants: The participants you have added to the selected therapy group will appear in this dropdown.
Provider: Select the desired provider from the dropdown.
Organization Member: Select the desired organization member from the dropdown.
Appointment Type: The Appointment Type dropdown displays all the group appointment types you have configured. Select the desired group appointment from the list.
Select the group appointment's contact type, location, date, and time.
Enter any notes to associate with this group appointment.
After entering all the details, click Create.
When you create a group appointment, it will appear as shown in the screen below. You can hover your mouse over the group appointment to view its details.
Creating a group appointment in the calendar automatically generates a new session in the Therapy Group module. If you delete this group appointment from the calendar, the system will display a confirmation message to delete the corresponding session from the Therapy Group screen. Once confirmed, the system will proceed to delete the session.
Clicking the Appt button will direct you to the Calendar page, displaying the details of the group appointment as illustrated below. From there, you can make any necessary modifications to the group appointment and save your changes.
