How to Add Related Contacts

Overview 

ICANotes+ allows you to create related contacts within the system. For example, if your practice has two clients—John Smith and Steve Smith—where John is Steve’s biological father, you can record this relationship in ICANotes+. If John is not already listed as a client, you can add him as a new contact for Steve and record the relationship. 

 

When adding contacts, there are three main categories: Family, Medical, and Custom. If a specific relationship is not covered under the Family or Medical categories, you can create a new Custom type. For instance, if you want to add a "Sibling" option that isn't available under Family, you can create it as a Custom category. 

 

 

Types of Related Contacts  

ICANotes+ supports three types of related contacts: Family Contacts, Medical Contacts, and Custom Contacts. 

 

To access related contacts:

 

  1. Navigate to the client’s chart room.
  2. Select the Communications tab.
  3. Expand the Related Contacts panel.

 

All added contacts will be displayed under the All Contacts tab. If there are many contacts, use the Family Contacts, Medical Contacts, and Custom Contacts tabs to categorize them for easier access. 



 

 

 

Adding a Contact / Creating a New Contact 

To add an existing contact to a client’s record, use the search field as shown below: 

 

 

 

If the desired contact isn’t in the ICANotes+ system, click the Create New Contact link, as depicted below: 



 

 

 

In the Create New Contact screen, fill in the following information:

 

  • First Name: Enter the contact’s first name.
  • Last Name: Enter the contact’s last name.
  • Type: Select from Family, Medical, or Custom.
  • Relationship: Based on the selected type, choose the relationship from the dropdown menu.
  • Guarantor/Responsible: Check this box if the contact is responsible for client payments.
  • Emergency Contact: Check this box to designate the contact as an emergency contact.
  • Referral Type: Select the referral type: Provider, Non-provider, or None.

 

 

 

 

Once the information is entered, click Next to add the contact’s phone, email, and address details. After filling in these fields, click Save

 

 

 

For Medical contacts, an NPI (National Provider Identifier) field will appear, along with specific relationship options for this category. 

 

 

For the Family contact type, related relationship options will be displayed in the Relationship dropdown, as illustrated below: 

 

 

 

Updating Contact Details   

If you need to update contact details, such as phone numbers or addresses, click the Edit button next to the contact, as shown below: 



 

 

 

 

Deleting Contact Details  

To delete a contact, click the Delete button. If the contact is being used elsewhere in ICANotes+, the delete option will be disabled and will appear with a different background color.

Adding a Custom Contact    

If you need to add a relationship that is not included under Family or Medical categories, you can use the Custom type.

 

  1. Select Custom from the Type dropdown.
  2. Choose New Custom from the Relationship dropdown. This will enable a new field called New Relationship.
  3. Enter the new relationship (e.g., "Sibling") in this field, as shown below:

 

 

The next time you create a contact, the "Sibling" option will automatically appear in the Relationship dropdown under the Custom type.
