In ICANotes+ you can activate client portal access for a Related Contact to the client. For example, parental access to child(ren) portal accounts, or a case worker needing access to a client's portal.
Locate the client's chart, then click into the Communications tab.
Expand the Related Contacts section if needed. Here you can add contacts related to the client, such as family members or other providers. If the contact you wish to grant portal access is not listed in Related Contacts yet, click Create new contact to add them.
In the Create new contact pop-up, provide the contact's general information.
Enter the contacts First Name, Last Name, and select a Type (Medical, Family, Custom) from the dropdown field before setting the Relationship. For "Custom" type, you can create a "new custom" or select an existing type from the Relationship dropdown. Click Next when finished.
You'll see a prompt informing you the contact was created. Next, enter more details for the contact, including their Email, which is required for granting the contact portal access.
Detail: Set the Type, Email, and then click the blue plus + sign to add it to the contact.
Scroll up to view and expand the Client Portal section.
A) If the client has already been granted portal access, their information will be displayed as the Chart Owner:
Click the three dots menu, then choose Change Ownership.
You'll be prompted to set the Chart Owner Name in the pop-up. Click into the dropdown field and choose from the available contacts. For example:
You'll see a toast message on your screen confirming: Client has been granted access to the portal and an email invitation has been sent.
B) If no chart owner has been specified for the client, click to Activate client portal access
In the Activate client portal access pop-up, select whether you wish to:
--- Use an email that has already been set
--- Update client's email
Choose Use an email that has already been set, then in the Chart Owner Name dropdown, select the other contact.
When set, click Activate.
You'll see a notice appear at the bottom of your screen confirming: Client has been granted access to the portal and an email invitation has been sent.
If the related contact is not currently the designated chart owner, they will receive an email informing them: You now have access to [Client's] health information on the Client Portal. You can sign in using the following link to set your password. This link will expire in 48 hours.

Following the link in the email, the chart owner will complete the required information, including confirming the client's last name, date of birth, and setting a portal account password.
Click Set Password, then sign in with the new credentials (email and password) to view the client portal.
When logging into the client's portal, the chart owner will have access to client information, appointments, messages, documents, and more.
If the related contact is also the set chart owner for other client charts, they will receive an email notifying them: You now have access to [Client name's] health information on the Client Portal. You can sign in using your existing portal account credentials.
In this circumstance, when the chart owner logs in to the Client Portal they will have the ability to select which client chart to view, by making a selection from the dropdown field at the top right of the portal.
