Configuring Dashboard Reminder Rules

Overview

ICANotes+ allows you to configure reminder rules for completing and signing notes. This ensures that providers finish their notes within a specified timeframe (e.g., 3 hours, 2 days, 3 weeks, or 1 month). You can also set reminders for providers to sign notes after completion. Once the specified duration has passed, the note will appear in bold, colored text, indicating it requires attention.

Notes
Currently, reminders can be set only for individual providers. A future update will allow setting reminders for all providers at once.

Step 1: Access the Reminder Rules Settings

  1. Log in to ICANotes+ and navigate to the Dashboard.
  2. Click the gear icon in the top-right corner.

Step 2: Add a New Reminder Rule

  1. On the Configure Reminder Rules screen, view the list of existing rules for various note types.
  2. Click Add New to create a new rule.

Step 3: Configure the Reminder Rule

  1. Select the Note Type – Choose the type of note from the dropdown (e.g., Quick Note, Case Management, Progress Note, SOAP Note, etc.).
  2. Assign the Clinician – Select the provider for whom the rule applies. (Currently, only one clinician can be selected at a time.)
  3. Set Completion Reminder:
    • Latency – Enter the number of hours, days, weeks, or months before the note must be completed.
    • Units – Select Hour, Day, Week, or Month from the dropdown.
  4. Set Signature Reminder (Optional):
    • Latency – Enter the timeframe within which the note must be signed after completion.
    • Units – Select Hour, Day, Week, or Month from the dropdown.
    • Note: The signature deadline must be later than the completion deadline.
  5. Click Add to apply the rule.

Modifying or Delete Reminder Rules

  1. Open the Configure Reminder Rules screen.
  2. Locate the rule you want to update.
  3. Click Edit to modify the rule or Delete to remove it.

Understanding Bold, Colored Text Alerts

  • If a note reaches the configured reminder deadline, it will appear in bold, colored text on the Dashboard.
  • This serves as a visual cue for clinicians that the note requires completion or signing.
