Common Causes of Slowness

This guide will outline various common issues/causes of slowness in ICANotes. Many times, our users report that they cannot connect to ICANotes, but can access other websites, check email, etc. Please keep in mind that these websites often do not require a steady internet connection to access, whereas the functions of ICANotes (accessing and creating important medical records, in real time) often require not only a steady but reliable internet connection.    Of course, performance issues in ICANotes may not be attributed to issues on your end. If you rule out local device/internet issues, please contact our Support Team (443-569-8778 or ticket@icanotes.com) and provide as much detail as possible.       Local Device Issues:  
  1. You might have spyware/malware infecting your machine, and secretly using your Internet bandwidth. - Avoiding non-work related websites, using Firefox/Google Chrome/Safari, and utilizing Anti-Virus/Anti-Spyware software will all help prevent this. Malwarebytes is a great way to protect your computer from viruses, spyware and malware, and has a free option here: https://www.malwarebytes.com/mwb-download/
  2. Your browser cache is so full, your browser has to slow down to allow for its limited hard drive space. - Low disk space or a heavily fragmented hard drive can impact performance. This guide covers how to clear web browser cache: https://icanotes-ehr.na1.teamsupport.com/knowledgeBase/13254588
  3. Your computer is outdated and may not have enough processing power. - Use of a computer without a hardware and software maintenance routine will result in degraded performance. Usually this is caused by increased use of CPU, RAM at start up and reduced hard drive space and disk fragmentation.
  4. You have unwittingly left dozens of windows open in the background, and they are clogging your computer CPU. - A number of resources can be consumed by even just running a modern web browser on an older computer. Just because you are not looking at a browser tab does not mean your computer is not using a large number of resources to keep it as an available tab.
  5. Startup programs may be running in the background. - Some software applications you install on a computer run in the background, quietly consuming network resources. Unlike worms, these are programs designed to do useful work. Peer to peer (P2P) programs in particular can heavily utilize your network and cause connections to appear slow. It's easy to forget these applications are running. Always check computers for any programs running in the background when troubleshooting a slow network.   6. A Windows or Mac dialog box is sitting open and unanswered in the computer background, stalling your computer CPU while it awaits your yes/no input. - E.g. An administrative prompt, Print Dialog, etc.
    Internet Issues:  
  1. Your ISP (internet service provider) may be having issues with routing signals to you. - Insufficient Download speeds, dropped packets (Ping Request Timeout(s)), and high Ping(>120ms latency times) are signs of internet issues. You should contact your ISP immediately. 
  2. You might have poor hardware connecting your machine to the wall. - Hardware Stores, Frys, BestBuy, Radio Shack, Office Depot, Staples, Office Max, and online retailers have network cables, Coax Cables and phone cords you may purchase.
  3. Maybe your modem-router is not configured correctly. - You are advised by HIPAA regulations to keep the most recently available firmware installed on your network equipment. Typically new routers have out of date firmware. You can go to your router manufacturer’s website and download the latest updated firmware. You will also want to ensure QOS (Quality of Service is setup for RDP traffic).
  4. Perhaps you have dishonest people leeching your wireless connection from nearby. - Your Wireless LAN SSID should not be broadcast at all (Disable SSID Broadcasting - AKA Wireless Network Name). Encryption and MAC ID filtering can all help ensure people are not stealing your bandwidth.
  5. A download may be occurring in the background, and you are unaware of it as it is leeching your bandwidth. - Common culprits: Streaming Radio (you or your co-workers), Streaming Video (you or your co-workers), Virus Scan Updates (should be scheduled off hours), Peer-to-Peer networking clients, etc.
  6. There may be an issue with your Wi-Fi connection. 
    1. Make sure you're connected to the correct Wi-Fi network. You may be connected to a public network. Your own service likely has two Wi-Fi connections you can connect to. The 2.4 GHz band provides coverage at a longer range but transmits data at slower speeds. The 5 GHz band provides less coverage but transmits data at faster speeds.

    3. Radio signal disruption from Cordless Phones or Microwave Ovens. Move Wireless Access point or move Microwave or cordless phone to prevent signal disruption.
    4. If possible, directly connecting to a modem/router will provide the most optimal connection.
  7. DNS (domain name system) tables might be outdated, so signals are getting sent to the wrong addresses on your ISP network. - This can be resolved by rebooting your computer, your router/network equipment and keeping your computer patched (Windows Updates) and free of spyware/viruses.
  8. Your network interface card (NIC) is configured improperly. - Remove any software that modifies the Windows default network protocols configuration. (AOL, PPPOE software from DSL providers and spyware/viruses are most notorious for this). Installing the most recent Network Interface Card device driver may improve performance and increase reliability.
